Privacy Policy

Last updated: 1 July 2026

This policy explains how Luxe Tanning Company ("we", "us", "our") collects, uses and protects your personal data when you visit luxetanningcompany.com or book and use our services. We are committed to protecting your privacy and handling your data in line with the UK GDPR and the Data Protection Act 2018.

1. Who we are

The data controller is LuxeTanningCompany Limited, a company registered in England & Wales (company no. 17053348), registered office 45-47 Upper Orwell Street, Ipswich, England, IP4 1HP.

For any privacy question or to exercise your rights, contact us at [email protected] or by post at the address above.

2. The information we collect

  • Information you give us — your name, email address, phone number, and any details you provide when you enquire, book an appointment, or contact us.
  • Health information — where relevant to a treatment (for example skin sensitivities or contraindications), which is "special category" data we only process with your explicit consent.
  • Booking information — appointment history and preferences.
  • Technical information — when you visit the website, our hosting provider may automatically log limited data such as IP address and browser type for security and to keep the site running. See our Cookie Policy.

3. How and why we use your information

We use your personal data on the following lawful bases:

  • To perform our contract with you — managing bookings, providing treatments, and taking payment.
  • Consent — where you have opted in to marketing, or provided health information for a treatment. You can withdraw consent at any time.
  • Legitimate interests — responding to enquiries, improving our services, and keeping records, balanced against your rights.
  • Legal obligation — meeting our accounting, tax and health-and-safety duties.

4. Booking and third-party providers

When you book an introduction, the Book an Introduction dialog uses a Google Calendar appointment schedule. The details you enter to book (such as your name, email and chosen time) are processed by Google under its own Privacy Policy. We only share what is needed to arrange your appointment; payment, where applicable, is taken in person at the studio.

5. Who we share your data with

We do not sell your personal data. We may share it with:

  • Service providers acting on our behalf (booking, payments, email, website hosting);
  • Professional advisers (accountants, insurers, legal advisers) where necessary;
  • Authorities where we are required to by law.

6. International transfers

Some of our providers may process data outside the UK. Where they do, we ensure an appropriate safeguard is in place (such as UK "adequacy" regulations or the International Data Transfer Agreement).

7. How long we keep your data

We keep personal data only as long as necessary for the purposes above, including any legal, accounting or reporting requirements. Financial records are typically kept for [6] years; enquiry and marketing data until you ask us to delete it or withdraw consent.

8. Your rights

Under UK GDPR you have the right to:

  • access a copy of your personal data;
  • have inaccurate data corrected;
  • have your data erased in certain circumstances;
  • restrict or object to processing;
  • data portability;
  • withdraw consent at any time where we rely on it.

To exercise any of these, email [email protected]. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we'd appreciate the chance to resolve any concern first.

9. How we protect your data

We use appropriate technical and organisational measures to keep your data secure and to prevent unauthorised access, loss or misuse.

10. Children

Our services are intended for adults. We do not knowingly collect data from anyone under 18 without appropriate consent.

11. Changes to this policy

We may update this policy from time to time. The "last updated" date at the top shows when it was last revised.
